The administrative and support services offices generally keep an eye on the day-to-day running of activities in the school. They are formed to organize and coordinate the various activities in which the school engages.

The Office of the Accreditation is the backbone of the institution in achieving its Vision, Mission and Goals. It is the school's main thrust in exploiting the expertise of different offices for institutional development.

The office is currently headed by Dr. Danilo L. Mejica who is also the school's Vice President for Academic Affairs.

Dr. Danilo Mejica insures that the curriculum echoes the philosophy, vision, mission and objectives of the school and that the disciplines and delivery are in accordance with those currently prescribed by CHED.  He leads the planning, co-ordination, development and implementation of the institution’s educational work, promotes and maintains good academic standards and procedures in all activities of the College Department. He also facilitates the instructional program; provides quality development programs; and promotes and uses data on research for the instructional improvement of the school.

As the VP for External Affairs & Industry Relation, Dr. Jo Mark M. Libre is responsible for overseeing/administering the institution's development office and all aspects of operation including fundraising; direct mail; phone solicitation; donor research; scholarship funds (in cooperation with the Financial Aid Offices); planned giving; development services, donor communications and reports; strategic planning, marketing, and government and non-government relations efforts. He is also responsible for establishing linkages with different institutions in the Philippines and abroad.

He works closely with colleagues on the Executive Team and a liaison to members of the Board of Trustees on advancement matters on the full range of organization-wide strategic issues, with  particular focus on scaling revenue streams and turning Jose Maria College into a World's Center for Development and Excellence.

The Office of School Operations oversees and finds ways to improve overall operation and management of the school. It also provides technical assistance and services to students and organizations and establishing clear expectations and standards for educational facilities which promote effective and efficient learning.

The Office of the Accounting is responsible for overseeing and verifying all financial transactions entered into by the institution with its employees, students, or with other entities. Mr. Rogelio T. Ambrosio, the head of the accounting establishes financial policies, plans and procedures and the accounting and safeguarding of assets from losses of all kinds.

It also plans, administers and controls the functions of general accounting, automated accounting and other administrative systems, fiscal services, student financial services, grants and contract accounting, accounts payable, accounts receivable, travel, cash management, investments, tax audits, capital financing, property accounting and control.

The Office of the Cashier however, is the one responsible for collecting and safeguarding all cash receipts, making payment vouchers, payroll and other orders of payments. Ms. Jessica G. Derilon as the Financial In-charge receives payments from students and other parties, issues receipts of such payments, and takes charge to safeguard the petty cash funds and other special funds entrusted to her for safeguarding.

With the main goal of understanding and meeting students and parents' expectations in order to increase satisfaction ratings and greater efficiency all-around, the Office of the Quality Management helps in uncovering and eliminating school's weaknesses in all areas and processes. It develops and interprets school-wide policies and procedures and conducts training to ensure excellent quality standards are met. The office focuses on leadership, management, assessment and measurement activities, as well as an overarching view of the outputs of all the projects in a programme.

The Office performs but not limited to the following:

  • Develops and interprets school-wide policies and procedures;
  • Develops and conducts training programs;
  • Manages the training and appointment process;
  • Develops and administers performance-based tests;
  • Certifies that each of the officials has satisfactorily completed required training and passed all required performance-based tests prior to performing his tasks;
  • Provides policy assistance;
  • Conducts quality assurance reviews of other departments or programs and;
  • Submits annual reports to the School Administrator or Borad of Trustees the results of quality assurance reviews.

Ms. Leonora Q. De Guzman is the head of HRMD office. She is in-charge of recruitment, training, and planning for the needs of the institution and employees. The Office of the Guidance Counsellor  provides academic, behavioural and deportment (character) guidance and counselling services to college students in relation to their academic, behavioural and spiritual orientation while in school. The guidance counsellor takes care of the implementation of the Guidance program of the School. He/She renders personal assistance to students through individual counselling, enabling them to reach a solution to their problems and process the development of their spiritual, moral, and intellectual growth. He/she works in cooperation with the Administrator, Dean of College, Program Dean and Program Heads on concerns related to the guidance program of the college.

The Office of the School Physician leads in promoting the ideal psychological, and social aspects or well-being of the students, faculty and staff. Dr. Cyrus Trocio, the shool's physician is assisted by the school nurse Ms. Delia Makilan in overseeing the school health policies and programs; provides school health services; promotes health education; performs health screenings; and/or coordinates referrals to advocate a healthy school environment.

The Office of the Physical Plant Coordinator oversees, plans, organizes, and supervises all the activities of the personnel involved in the maintenance of the physical facilities and assets of the school, equipment repairs, systems installation, preventive care, renovations, modifications, and other operational functions of the school in accordance with its policies. 

The Office of the Student Affairs  plans and leads social, cultural, recreational and other related activities of various student groups as mandated by the college policies and regulations; and acts on complaints, problems and conflicts among students.
